Vendor Management: Vendor management software that checks the vendor before you buy
Vendors onboard themselves from a link, with no password to set up. Tax forms, insurance certificates and security reports are tracked to expiry, and every purchase order checks the vendor first.
- Purchasing checks the vendor first
- Password-free vendor portal
- QuickBooks, Xero and NetSuite export
14-day free trial. No credit card required.
From $1,499 a month for up to 500 active vendors. Unlimited users.
Common problems
Slow onboarding
Onboarding a vendor is weeks of email and PDFs.
Vendors fill in a portal checklist from a single-use link.
Expired certificates
Insurance certificates expire without anyone noticing.
Documents are tracked to expiry with reminders and escalation.
Missed renewals
Auto-renewals slip past their notice dates.
Notice deadlines in calendar or business days, with alerts.
Bank-change fraud
A changed bank account turns out to be fraud.
Bank changes are confirmed by calling back a number already on file.
Who uses Vendor Management
Vendor Management is built for finance and procurement teams at companies with 50 to 2,000 employees and hundreds of vendors, running QuickBooks Online, Xero or NetSuite without a procurement suite.
Coupa and SAP Ariba are sized for larger companies and longer implementations. Vendor risk tools such as Gatekeeper and Venminder stop at the vendor file and don't control what you spend.
Procurement leads
Vet and onboard vendors, keep contracts under control and issue POs.
AP clerks and controllers
Verify bank details, match invoices and export to accounting.
Risk and compliance analysts
Tier vendors, run assessments and prove control to auditors.
Requesters and approvers
Ask for a vendor or a purchase, and approve from email, Slack or Teams.
Vendor Management workflow
Request
An employee asks for a new vendor or a purchase in a short form.
Onboarding
The vendor completes the portal checklist, and risk is tiered and reviewed.
Purchase order
The purchase order is checked against the vendor's status, documents, risk and contract before approval.
Matching and export
Invoices are matched to orders and receipts, then exported to your accounting system for payment.
Vendor onboarding software with purchasing built in
Vendor-checked purchasing
Nine checks run before a purchase order or invoice is approved, including vendor status, missing or expired documents, overdue reviews, open critical risk findings and expired contracts. An override needs a reason and is logged.
Vendor portal
Vendors get a single-use link and a checklist of exactly what is still missing.
Compliance documents
W-9 with TIN checks, W-8, insurance certificates with coverage minimums, SOC 2, ISO 27001 and DPAs, each with reminders before it expires.
Contract notice deadlines
Notice periods in calendar or business days, with holiday calendars and alerts before a contract renews itself.
Bank-change verification
New bank details are confirmed by calling back a number already on file, and existing contacts are alerted. Duplicate invoices are caught before payment.
Accounting export
Export or sync to QuickBooks Online, NetSuite and Xero. Exporting again never creates a second bill.

Starter and Growth include every feature. The plans differ only in size.

Customization with Superkoda AI
Superkoda AI changes Vendor Management on a development copy from a request in plain language. Changes reach users only when you release them.
It runs on the Superkoda platform, with access rules down to a single record and releases you can undo.
14-day free trial. No credit card required.
Add a “Will you access our customer data?” question to onboarding. If yes, require a SOC 2 report.
Every Monday, email me the contracts whose notice deadline falls in the next 60 days.
Switching to Vendor Management
From Gatekeeper
The same single vendor and contract record, plus purchase requests, purchase orders, receipts and three-way matching.
From Precoro or Procurify
Purchasing that knows whether a vendor is compliant, reviewed and under contract, not only whether it is approved.
From Coupa
Purchasing that checks vendor risk, for companies of 200 to 2,000 people, without a six-month implementation.
From Venminder
Onboarding, offboarding and workflows without paid add-ons, plus purchasing and accounting export.
Migration
Vendor list
From your accounting system or spreadsheet.
Dry run
See every row problem before anything is saved; importing again doesn't create duplicates.
Missing documents
Send vendors a portal link with exactly what is still needed.
Purchasing checks

Vendor Management FAQ
Is this supplier management software?
Yes. Vendors and suppliers are the same thing here: onboarding, documents, risk reviews, contracts and performance sit on one supplier record.
Does it cover procure to pay?
It covers purchase requests, approvals, purchase orders, receipts, three-way matching and invoice approval. Approved bills go to QuickBooks Online, NetSuite or Xero, where you pay them.
Does it pay our vendors?
No. Approved invoices are exported to QuickBooks Online, NetSuite or Xero, and you pay them there.
Do vendors need an account?
No. They use a single-use link to fill in their details and upload documents.
Can we run several legal entities?
Yes. Each entity has its own PO numbering and currencies, with reporting in your base currency.
Is there a free trial of Vendor Management?
Yes. Vendor Management starts with a 14-day free trial, and you don't need a credit card to start it. Pick Starter or Growth when the trial ends.
What counts towards the active vendors limit?
Vendors with an active status, at the highest count in the last 30 days. Offboarded and archived vendors don't count.
What happens if we go over the limit?
Nothing stops working. You get 30 days' grace, then a prompt to move up. On monthly billing the new plan starts at your next renewal; on annual billing we pro-rate the difference.
Do we pay per user?
No. Both plans include unlimited users, and Starter and Growth have the same features.
Can we change the app ourselves?
Yes. Describe the change to Superkoda AI and it updates the fields, screens, rules and reports of Vendor Management on a development copy. You try it, then release it. A developer can also edit the code directly.
Is there a discount for paying yearly?
Yes. Annual billing costs 10 times the monthly price: $14,990 a year for Starter and $29,990 for Growth.
