Visitor Management: A visitor management system that keeps the lobby moving

Visitors check themselves in on a kiosk, sign the documents their visit needs and get a printed badge. Hosts hear about it on the channel they watch, and if they don't answer, someone else does.

  • Check-in keeps working offline
  • Host alerts that escalate
  • Watchlist and evacuation on every plan

14-day free trial. No credit card required.

From $349 a month for up to 3 sites. Unlimited users.

The on site now screen in Visitor Management, with sample data.

Common problems

Offline outages

The kiosk stops when the Wi-Fi drops.

Every check-in flow, including documents and badges, works offline and syncs later.

Missed arrivals

Visitors wait because the host missed the message.

Alerts go to the host, then delegates, then reception, until someone answers.

Unreliable on-site list

During a fire drill nobody trusts the on-site list.

One live list for the site, with roll call from any phone.

Site-by-site setup

Every new site is set up from scratch.

Set up once, override per site, and keep one visitor log for all of them.

Who uses Visitor Management

Visitor Management is built for organisations with several sites and a front desk that has to be both welcoming and secure: offices, labs, light manufacturing, and buildings shared by several companies.

Envoy keeps its blocklist for the Enterprise plan, and Envoy Premium costs $362 a month for one location. Starter covers up to three sites for $349, with the watchlist, evacuation and offline check-in included.

Receptionists

Keep the lobby moving, check groups in, log deliveries and handle exceptions.

Hosts

Invite visitors once and hear about their arrival on the channel they watch.

Security and fire marshals

Screen against your watchlist, resolve alerts and run roll call from a phone.

Facilities and IT leads

Configure flows, badges and retention for every site from one place.

Visitor Management workflow

Invite

The host invites a visitor or a group, or creates the invite from their calendar.

Check-in

The visitor scans a QR code or uses the kiosk, signs the documents for their visit type and gets a badge.

Host alert

The host hears by Slack, Teams, SMS or email, and the alert moves on if they don't respond.

Check-out

The visitor signs out with their badge or a link, or your end-of-day rule signs them out.

Visitor management software for check-in, badges and evacuation

Offline kiosk

Every check-in flow works without a network, including documents and badge printing. The kiosk shows when it is offline and syncs in order when the connection is back.

Escalating host alerts

Host first, then their delegates, then reception, each on a timer. Hosts reply from Slack, Teams, SMS or email, so the visitor knows someone is on the way.

Mobile roll call

Any fire marshal can account for people from their own phone, and visitors can mark themselves safe from a link. The on-site list follows your own sign-out rules, including overnight.

Badge printing

Brother, Zebra, DYMO, or plain PDF and AirPrint. Badges are rendered on the kiosk, so printing works offline too.

Multi-site setup

Set up flows, documents and badges once and override them per site. One visitor log covers all locations, and shared lobbies work for buildings with several tenants.

Data retention and privacy

Visit records are deleted after 365 days unless you choose another period, photos after 30, and ID images are never stored. Erasure requests are tracked against a 30-day deadline.

Customization with Superkoda AI

Superkoda AI changes Visitor Management on a development copy from a request in plain language. Changes reach users only when you release them.

14-day free trial. No credit card required.

Example: asking Superkoda AI to change Visitor Management. Added a question to the contractor check-in flow Added Insurance certificate to visit records Printed the field on the contractor badge.

If a visitor is still signed in at 8 pm, text their host and the security desk.

Superkoda AI: Adds a scheduled check with an SMS to both recipients.

Add a “Clean room” visitor type that needs an escort and a signed gowning procedure.

Superkoda AI: Creates the visitor type with an escort rule and a required document.

Visitor Management FAQ

Does it keep a visitor log?

Yes. Every check-in and sign-out goes into one visitor log across all your sites, which you can filter, export and delete on a retention schedule.

What do we need at the front desk?

A tablet for the check-in kiosk and, for printed badges, a Brother, Zebra or DYMO label printer. Visitors invited in advance can check in with a QR code.

What hardware do we need?

A tablet for the kiosk and, for printed badges, a Brother, Zebra or DYMO label printer, or any AirPrint or PDF printer.

What happens if the internet goes down?

The kiosk keeps checking people in, printing badges and collecting signatures, then syncs in order when the connection returns.

How do you handle visitor privacy?

Each site has a retention period with automatic deletion, ID images are never stored, and erasure requests are tracked against a 30-day deadline.

Is there a free trial of Visitor Management?

Yes. Visitor Management starts with a 14-day free trial, and you don't need a credit card to start it. Pick Starter or Growth when the trial ends.

What counts towards the sites limit?

Sites are your active locations and shared lobbies, at the highest count in the last 30 days. Kiosks, hosts and visits are not counted.

What happens if we go over the limit?

Nothing stops working. You get 30 days' grace, then a prompt to move up. On monthly billing the new plan starts at your next renewal; on annual billing we pro-rate the difference.

Do we pay per user?

No. Both plans include unlimited users, and Starter and Growth have the same features.

Can we change the app ourselves?

Yes. Describe the change to Superkoda AI and it updates the fields, screens, rules and reports of Visitor Management on a development copy. You try it, then release it. A developer can also edit the code directly.

Is there a discount for paying yearly?

Yes. Annual billing costs 10 times the monthly price: $3,490 a year for Starter and $14,990 for Growth.
